5 Systems Every Scattered CEO Needs to Scale Sanely

Let’s talk about what actually helps your business feel like a business.

If you’ve ever felt like:

  • You’re flying by the seat of your pants.

  • You have a business, but it kinda runs on vibes.

  • You’re always behind and can’t keep up…

Then bestie, it’s not you. It’s your systems. Or the lack of them.

Systems don’t have to be scary or sterile — they’re just repeatable, reliable ways of getting things done. And if you’re trying to scale without them? You’ll burn out before the growth even lands.

Here are 5 simple but powerful systems every scaling CEO needs:

1. ✨ Client Onboarding System

You shouldn’t have to manually send every welcome email, contract, invoice, and questionnaire.

A strong onboarding system:

  • Welcomes your client automatically

  • Sends your contract + invoice

  • Shares next steps and how to reach you

  • Makes the experience feel smooth and elevated

Tools like Dubsado, HoneyBook, or even Google Forms + Stripe can totally work. The key is that it’s automated and consistent.

2. 🗂️ Content Planning System

Posting on the fly works… until it doesn’t. Especially when you’re launching something or want to grow.

Your content system can be super simple — even a Google Sheet works. But it should include:

  • Ideas bank

  • Drafts in progress

  • Finalized content (with dates!)

  • A place for graphics, links, and CTAs

I love building these out in ClickUp or Notion, but whatever tool you’ll actually use is the right one.

3. ✅ Task & Project Management System

Sticky notes and inbox flags aren’t a system, bestie 😅

You need a central hub for:

  • Projects

  • To-dos

  • Recurring tasks

  • Launch plans

  • Team assignments

This is where ClickUp, Asana, or Notion shine. You want to see what’s happening today, what’s coming up, and who’s doing what — without digging through emails or DMs.

4. 💬 Team Communication System

If you’re communicating with your team via texts, emails, Voxer, and Instagram DMs… it’s no wonder things feel messy.

Pick a main channel (Slack is my fave) and stick to it.

Create expectations around:

  • Response times

  • Where updates live

  • How to share wins or questions

Your team will feel way more supported — and you’ll stop answering the same thing in five places.

5. 📊 Metrics Dashboard

If you’re not tracking your numbers, you’re guessing. That might work at the beginning… but not when you’re scaling.

A good dashboard helps you track:

  • Revenue (monthly and yearly goals)

  • Offer sales or client retention

  • Website or landing page traffic

  • Email list growth and engagement

  • Social growth or lead sources

You don’t need fancy software — a simple spreadsheet updated weekly is a great start.

You Don’t Have to Build This Alone

If you’ve been trying to DIY your systems and it just… isn’t happening, that’s okay. You’re not behind. But you do deserve support.

These systems are what let you finally:

  • Get out of the weeds

  • Hand things off

  • Scale without burnout

And as an OBM, setting them up (or cleaning them up) is literally what I do.
